Job Title: Part-Time Administrative Coordinator (3 Month Contract)

OneLook Productions is seeking a part-time Administrative Coordinator to join our team for our busy season. This is a 3-month contract position with the possibility of extension.

Duties and Responsibilities:

  • Follow up with bookings and provide excellent client care
  • Accurately create invoices and follow up with accounts receivable
  • Coordinate content delivery and move projects through the applicable workflow
  • Manage emails
  • Schedule management
  • Schedule client appointments
  • Participate and engage in company culture
  • Assist in maintaining HR/H&S program
  • Accompany photographers on shoots if needed for 3D Tours and Floor Plans
  • Updating and utilizing KEAP to enhance customer experience
  • Point of contact between real estate agents and creative specialists on site for any order notes or real-time requests
  • Process Matterport 3D tours and order floor plans from Home 2DS

Skills & Mindset Required:

  • Excellent customer service, communication, and organizational skills
  • Strong analytical, problem-solving, and decision-making skills
  • Excellent time management skills with the ability to prioritize and meet deadlines
  • Ability to work well in a high-paced and stressful environment
  • Aptitude for technical/systems adoption and ability to pick up new technologies quickly
  • Proficient with Google G Suite and word processing software
  • Customer Relationship Management (CRM) software fluency
  • Self-starter and ability to work with minimal supervision
  • Proper spelling and grammar
  • Passionate about the subject matter (primarily Real Estate and small business)
  • Desire to learn more and grow within the company
  • Ability to pivot with changes to scheduling/tasks
  • Confident in their abilities & long term career-focused

Qualifications:

  • High school diploma or equivalent required
  • 1-2 years of experience in customer service, scheduling, office administration & marketing
  • Knowledge of photography and/or videography considered an asset
  • Experience with CRM and other project management systems an asset

Working Conditions:

  • Primarily in office position with flexibility for some remote work and some on-site activities
  • Long periods of sitting at a desk using a computer
  • On occasion, working on site with varying indoor and outdoor conditions
  • Flexible working hours, 3-4 days per week including some Saturdays

Earning Potential:

  • Salary range $18-20/hr depending on experience
