Location: The HR Data Analyst will operate in a hybrid model, and will be required to work approx. 2-3 days per week on site from our Newmarket office, Located at (1101 Nicholson Rd, Unit 5, Newmarket, ON, L3Y 9C3) and will be required to occasionally travel to our other offices within York Region & South Simcoe. The hybrid model is subject to change in accordance with CMHA policies.
Job Profile: The HR Data Analyst is a part of the People and Culture (P&C) team responsible for maximizing technological capabilities with a variety of P&C tools to reduce manual processes as well as developing and administering ad-hoc/scheduled reporting for all portfolio areas within the department. This position will be the subject matter expert for all P&C related tools regarding functionality, maintenance, upgrading and training. In addition, the HR Data Analyst will be accountable for ensuring data integrity for all metrics based reporting and analyzing data, and communicating trends to support business decisions. This position will be responsible for responding to employee inquires related to various P&C tools, updating CMHA’s intranet for P&C related content and serving as a resource for continuous technical process-improvement tasks and special projects under the P&C portfolio.

Duties:
. System process and primary administration support using the Human Capital Management system UKG (formerly UltiPro) (CORE & Payroll, Time Management, Recruiting Gateway, Onboarding, Performance Management and future modules)
- System process and secondary administration support for the policy and procedures system PPM and the learning management system RISE
- Develop and run various reports within UKG, PPM, Rise to deliver information and provide analysis to various levels of management and Board of Directors
- Work with internal partners including Finance/Payroll for mass updates, ad hoc P&C/Payroll related requests and ensure data integrity within UKG for P&C data
- Supporting regular system maintenance testing requirements for upgrades and enhancements as it relates to designated system tasks
- Becoming a UKG, PPM and RISE end-user subject matter expert and support the business regarding processes, changes and other system inputs and future module implementations
- Developing and maintaining Standard Operating Procedures(SOP) documentation for all P&C technical tools and processes
- Conducting audits of employee data in UKG to ensure accuracy and integrity is maintained
- Assist with the support of all aspects of P&C as it relates to data requests, analyzing trends, ad-hoc reports, and projects where applicable
- Assist in the enhancement and maintenance of P&C metrics scorecard
- Collaborate with IT to develop/maintain a Help Desk ticketing system for P&C inquiries for technical support on tools and general P&C inquiries
- Triage Help Desk tickets for employee and manager inquiries and provide support and answers as they relate to P&C processes and systems functionality
- Monitoring all employee access to P&C technical tools and work with IT, where required to troubleshoot and resolve access issues
- Creating and maintaining accurate employee records in UKG and makes updates accordingly and as directed. Communicate these updates to Payroll, as required.
- Communicating with external vendors on technical tools subscription renewals and preparing external service tickets for system issues
- Providing training and education around P&C tools to existing and new employees individually and groups.
- Support the P&C team with various ad hoc projects where applicable
Requirements:
Education and Certifications:
- Three year post-secondary education, preferably in Human Resources, Business Administration, or related field
Prior Work Experience:
- Minimum of two years of related experience including: Working with software and systems related to human resources including HCM, HRIS, LMS
- Developing and running customized reports
- Analyzing data and communicating trends in PowerPoint format
- Previous experience using UKG (UltiPro) considered an asset
- Experience with project management software and online forms/surveys; experience with Smartsheet; Surveymonkey considered an asset
- Technical knowledge; basic understanding of coding
- Previous work experience creating reports using Business Intelligence
Knowledge, Skills and Abilities:
. Proficiency in computer applications, including Microsoft Office Suite (Outlook, Word, PowerPoint, Excel);
- Previous experience facilitating technical training sessions one on one and small groups
- Advanced Excel and reporting skills required
- Passion for detail and a drive for accuracy
- Previous experience and understanding of human resource processes and programs an asset

Working Conditions:
Working at a desk in an office environment, with moderate active work required during internal and external events. Work primarily in the Newmarket office and remotely from home in a hybrid model. Occasional travel with York Region and South Simcoe for training and meetings.
