The Fort McMurray Catholic Schools requires a full-time Administrative Assistant for Holy Trinity High School.

QUALIFICATIONS

· Office Administration Diploma, from a recognized post-secondary program

· At least 2 years of recent experience in reception/office administration role

· Other equivalent combinations of directly related post-secondary education and directly related experience may be considered

· Proficient in the use of Microsoft Office applications, including Word and Excel

· Proficient in the G-Suite of products including Gmail, Sheets and Docs

· Strong verbal and written communication skills

· Able to work in fast paced, constant changing environment with multiple priorities

· Able to deal with sensitive and discretionary matters and maintain strict confidentiality

· Strong customer service orientation that demonstrates professionalism, tact, courtesy and diplomacy skills

· Strong data entry/keyboarding skills with an emphasis on accuracy

· Able to successfully build productive relationships with students, staff, parents and other internal and external clients

RESPONSIBILITIES AND DUTIES INCLUDE

· Front line reception and effective communication; Answer phones, direct calls, take messages and answer inquiries

· Receive and direct visitors, parents and students

· May receive and register substitute teachers or other substitute staff

· Process incoming and outgoing mail, print materials etc. and distribute

· Maintain office supplies

· Assist in creating work orders for maintenance repairs/deficiencies

· Assist in maintaining and managing student records by processing registration of new students, transfers and changes, tracking attendance and maintaining Student CUM Files and Student Information System (SIS)

· Collecting information and providing reports on attendance, marks, grades, class and school lists as required

· Assist in administering transportation

· Verify bus routes and assign students to school bus with District Coordinator

· Collect fees and issue bus passes; answer queries from parents and students on transportation system

· Receive, record and process transactions and receipts, including Efunds

· Prepare and process bank deposits and communicate summaries

· Place orders, purchase and receive goods and services, including distribution

· Assist in planning and organizing school activities

· Other duties as assigned by Principal or School Administrative Coordinator

The successful candidate will be required to provide a Criminal Reference Check and a Vulnerable Sector Check. FMCSD will contact past and present employers for references. All FMCSD employees are expected to be computer literate; this includes fluency with e-mail, Internet and MS Office.

Job Types: Full-time, Permanent

Salary: $23.00-$24.00 per hour
