SUMMARY OF DUTIES
Ensures that calls, emails, social media correspondences from residents and other members of the public are: responded to in a timely and courteous manner; resolved in a prompt, professional manner; and/or redirected to the appropriate Ward 3 office team member, City division, organization or level of government as required. Provide regular updates on key themes and noteworthy issues from residents to the Councillor and other Ward 3 office team members.
Manages Ward 3 Office database. Maintain on an ongoing basis inputting constituent calls, emails, correspondences and requests into the office database accurately; track and monitor for follow-up action, response and/or closure.
Establish and maintain a system for case files; ensure active files are updated with pertinent information; close and retire files that are complete.
Produce a bi-weekly E-Newsletter; maintain website; and create and respond to social media posts and lives. Produce analytics and updates on communication channels.
Craft resident communication on emerging issues in consultation with Councillor and team.
Facilitate robust resident and community engagement through meetings and events hosted by the Ward 3 Office.
Assist in routine office management, financial administration, scheduling, and event coordination.
Works independently on multiple activities and ensure deadlines are met and established procedures followed.
Maintains confidentiality of sensitive information.
Works in accordance with the provisions of applicable health and safety legislation and all City of Hamilton corporate and departmental policies and procedures related to occupational health and safety.
Performs other duties as assigned which are directly related to the major responsibilities of the position.
QUALIFICATIONS
1. Must possess excellent interpersonal skills; the ability to build and maintain strong working relationships with residents, team members, partners to the Ward 3 office, City staff, other members of Council; conduct oneself with tact and professionalism; and maintain confidentiality.
2. Familiarity of Ward 3, municipal issues, and existing relationships with diverse residents, organizations and communities in Ward 3 will be considered an asset.
3. Outstanding communication and problem-solving skills.
4. Must relate readily to the public and apply a service approach that is professional, empathetic and action-oriented.
5. Excellent file/system management, administrative, and organizational skills.
6. Must be able to work effectively under pressure, set priorities, and meet deadlines with sound judgement and proactive communication.
7. Must work effectively with others; seek advice and assistance when needed; contribute to team successes; take initiative and have the ability to carry out instructions without micromanagement.
8. Must be able to work on complex files and co-ordinate resolution through appropriate channels at the City and/or in the community.
9. Ability to regularly travel to and within Ward 3 to carry out duties and responsibilities.
10. Demonstrated commitment to applying an integrative and equity approach to social, economic and environmental issues.
11. Proficiency with regular office software and applications, and in digital and virtual communication tools like Canva, Squarespace, Zoom, and all social media platforms.
