Position Overview

We are seeking a purchasing coordinator to ensure the procurement process runs smoothly, efficiently, and within budget. You will collaborate closely with the President of Operations to understand the requirements and provide them with well-researched options for approval. The purchasing coordinator will play a vital role in maintaining and enhancing our hotel’s atmosphere by sourcing high-quality furniture, appliances, and other essential items. A strong, motivated team is already in place, and we are looking for a candidate with the same drive and commitment.

Salary: $50,000-$60,000

Location: Calgary/Canmore

Stat Date: May 2023

Shifts: Monday-Friday, Permanent

Key Responsibilities

- Collaborate with the President of Operations to determine purchasing needs for each hotel location.
- Conduct thorough market research to identify suppliers, vendors, and manufacturers of furniture, appliances, and related items.
- Develop and maintain strong relationships with suppliers, negotiating contracts, pricing, and terms to obtain the best value for the organization.
- Manage the end-to-end purchasing process including issuing purchase orders, tracking orders, and ensuring timely delivery.
- Ensure supplier adherence to quality standards, delivery timelines, and service level agreements.
- Monitor and analyze market trends and pricing fluctuations, making strategic recommendations to optimize purchasing processes.
- Maintain accurate record of purchasing activities, contracts, and supplier information.

Skills and Experience

- Excellent negotiation, communication, and interpersonal skills.
- Detail-oriented with strong organizational skills.
- Experience with contract management and negotiation.
- Proficiency in data analysis and reporting, utilizing tools such as Excel or purchasing software.
- Ability to manage multiple projects simultaneously and prioritize tasks effectively.
- Strong problem-solving skills and ability to overcome purchasing challenges.

Requirements

- Diploma in Business Administration, Supply Chain Management, or a related field (or equivalent experience) is considered an asset.
- Proven experience as a purchasing specialist, purchasing agent, or similar role.
- Familiarity with purchasing with the hospitality industry an asset.
- Previous involvement in large-scale purchasing projects, such as hotel renovations or new hotel openings.
- Knowledge of inventory management techniques.

Salary: $50,000.00-$60,000.00 per year
