Please note - we are looking for relevant experience - this is not an entry level position.

Growing East Gwillimbury based company requires full-time, permanent, Office Administrator

The Office Administrator is accountable for providing organizational and administrative support in order to maintain the day to day operations of the business. The ideal candidate is proactive, positive and organized, has strong interpersonal skills, thrives in a fast-paced environment and is flexible to assume a variety of responsibilities as needed.

Required Qualifications/Experience:

  • Relevant administration support in a small business environment (3+ Years Preferred)
  • Minimum Grade 12
  • Intermediate Microsoft Office Skills
  • Experience with Sage Software (Preferred)
  • Class G Licence and/or Reliable transportation (office is not on a bus route)

  • Excellent time management and organization skills
  • Strong interpersonal and communication skills; customer service driven and teamwork focused
  • Superior oral and written communication skills, including an excellent telephone manner and email etiquette
  • Effective multi-tasking capabilities and the ability to prioritize

Key Responsibilities:

  • Manage all incoming calls and emails and directing to appropriate contact
  • Provide administrative support to President or General Manager as required
  • Create invoices from Technician work orders into Sage system
  • Send invoices to customers
  • Enter Vendor invoices into Sage
  • Enter weekly time sheets in excel and Sage for payroll approval and processing
  • Enter EFT payment and distribute pay stubs via email (bi-weekly)
  • Contribute to completing Bids and Tenders
  • Prepare and send final quotes to customers
  • Maintain Technician Training Certifications
  • Ensure all office supplies, internal forms etc. are ordered, maintained and stocked
  • Pick up mail daily and distribute
  • Various other tasks as assigned

Schedule:

8:00am – 5:00pm - Monday to Friday

Job Types: Full-time, Permanent

Salary: $19.00-$23.00 per hour
