Job Title: Medical Office Administrator
Location: Port Colborne
Shift: 8:30 am -5 pm Monday, Wednesday, and Thursday; Tuesday is also 8:30 am-8 pm8:30 am, Friday 8:30am-1 pm; days may vary
Pay: $18 - $22 per hour
Job Summary:
Our client, is looking for a receptionist that is a responsible, organized, and innovative team player who will be the face of our busy family medicine practice. The preferred candidate should have electronic medical record (EMR) experience. Knowledge of the TELUS PS Suite EMR would be an asset, but not mandatory. It is expected that the receptionist will seek opportunities to improve levels of service, recognizing the needs and expectations of the patients and the clinic.
DUTIES AND RESPONSIBILITIES:
- Arrival and Check-in
- Provide excellent customer service to our patients, visitors and when liaising with other physicians, medical clinics, labs etc.
- Office opening and closing.
- Check patients in, ensure their Health Card and contact information and email are correct.
- Change arrows in PSS to ensure the physician, PA, and/or nurse are aware of arrival.
- Rooming of patients during evening clinics (if applicable).
BOOKING MANAGMENT
- Answer phones in a timely and professional manner.
- Arrange appointments in PSS according to the physician/ PA list
- Reminder Calls and/or emails (call or email each patient the day prior to remind of apt and prep if any)
- Frequently check messages in PSS and address throughout the day.
MAIL / FORM MANAGEMENT
- Pick up mail from downstairs and pass on to the Billing / Records Lead for distribution.
- Process payments for invoices being paid by patients.
- Update spreadsheet with payments made by physicians.
- Call and arrange form pick up for patients.
- Collect any paperwork from patients, make notation in patients chart and disburse to the appropriate physician.
DAILY OFFICE TASKS
- Follow up on invalid Health Cards to get new Version Codes.
- Follow up on Patient referrals.
- Check and refill printers (Xerox and Brother).
- Wipe down the desk and computer each night.
- Maintain office supplies and notify Operations Manager when supplies are needed.
- Other responsibilities as assigned by the Operations Manager and the physician.

- Innovation, organization, and planning skills are required in the creation of office procedures and systems.
QUALIFICATIONS
- Professional/Education/Experience Preferred:
- High school diploma required
- Medical Office Assistant Diploma an asset.
- Excellent oral and written skills.
- Competency in computer-based programs (PSS an asset) and multi-line phone systems.
- Ability to work effectively with all members of the health care team
- Ability to prioritize, manage time effectively and be flexible in a very active work environment
- PRand AED Ceticalon an asset
