ROLE

Reporting to the Human Resources Manager, the Camp and Travel Coordinator will be responsible for arranging, tracking, and coordinating all flights / travel and camp requests and bookings for the LNG Canada – Kitimat Project. This position will also have a pivotal role in forecasting of camp accommodations, flights and travel requirements and submission of forecasting reports to the client at regular intervals.

This position will act as the primary contact regarding all flights, travel and camp booking activities, issues, and inquiries.

KEY RESPONSIBILITIES

  • Arrange and coordinate camp and air travel requests and bookings for all staff/craft on the project.
  • Ensure all itineraries are communicated and distributed to employees and travelers.
  • Confirm and verify flight attendance. Escalate to the appropriate supervisor if any discrepancies are found between the booked flights and the confirmed flight attendance.
  • Arrange camp accommodations for all employees and visitors on the project site.
  • Contact new employees and visitors to site with camp and travel details, along with site information.
  • Cancel or reschedule any camp accommodations due to changes in an employee's status.
  • Monitor the camp room availability and ensure alternative camp arrangements are made if vacancies are limited.
  • Responsible for reconciliation of all invoices against commercial bookings.
  • Coordinate camp and flight bookings with LNGC Site Travel department.
  • Responsible for camp and flight forecasts and submissions.
  • Ensure any travel itinerary changes are communicated with the applicable employee.
  • Collaborate with other functions to enhance project success on an as-needed basis required.
  • Track and update scheduled workforce plans and adjust forecasts accordingly.
  • May be required to perform other duties as assigned.

EDUCATION AND PROFESSIONAL CERTIFICATION

  • Post-secondary education completion in an accredited administration program is an asset.

EXPERIENCE AND SKILLS

  • At least 2 to 3 years related experience preferably on a Fly in Fly out oil and gas or construction project.
  • Expert level camp & flight forecasting capability;
  • Previous experience with LNG Canada project site is a definite asset.
  • Must have strong knowledge of a MS Office applications including Word, Excel, PowerPoint and Outlook.
  • Must have a high level of interpersonal skills to handle sensitive and confidential situations.
  • In-depth analytical skills and ability to create useful and actionable reports from data.
  • Possess strong written and verbal communications skills.
  • Possess strong organization skills and ability to complete multiple tasks and high volume of work on deadline.
  • Strong attention to detail and ability to edit and proofread.
  • Possess a creative outlook with a problem-solving attitude.
  • Excellent time management, and follow-through skills.
  • Ability to respond quickly and accurately to requests for data, ability to provide excellent customer service a must.
