Job Responsibilities:
Reporting to the Director of Engineering, the Project Coordinator is responsible for overseeing the coordination/administration of projects including but not limited to materials handling, budget, expenses, change orders, contracts, insurance, and purchasing. You will work closely with the Engineering/Project Management team and other key stakeholders to understand priorities, planning, forecasting timelines, scheduling, conflicts, and execution.

Additionally, you will provide other ad hoc administrative assistance to the project managers, such as ordering equipment and materials, managing deadlines and workflows, and scheduling meetings — all in an effort to support the project managers and keep the project running smoothly, on time, within budget, and accurately.

Project Coordination:

  • Assist Project Managers to cover the full project life cycle of the project - initiation, planning, execution, monitoring/controlling, and closing.
  • Oversee various projects of significant magnitude in terms of complexity, cost ($1M-

10M), time-constraints, internal and external clients, suppliers, staff, and other stakeholders.

  • Develop and maintain the project schedule and budget for the engineering and construction segments of the project.
  • Provide status report of project milestones and adjustment to schedules.
  • Control expenditures within limitations of project budget
  • Overseeing the coordination of projects i.e., materials handling, budget, expenses, change orders, contracts, insurance, and purchasing.
  • Assist with the creation and submission of project billing.
  • Provide status and progress reports to customer, project team, and management.

Project Administration:

  • Oversee and manage project documentation and coordinate documentation revisions and distributions.
  • Upload projects BOM into ERP system.
  • Prepares standard project status reports for project delivery team, client, and management.
  • Enter project information data (i.e., project status updates, schedule updates) into project management module in the ERP system.
  • Assist with project administration deliverables (i.e., meeting minutes; budget tracking; schedule updates; move management; closeout).

What We Are Looking For:

  • Undergraduate degree in Engineering – Civil, Mechanical, Construction or Industrial.
  • Coordination of all activities associated with the project from receipt to hand over of the project to the client while ensuring that the project is delivered on time.
  • Highly motivated and able to complete projects with minimal direct supervision.
  • Flexible and able to manage multiple priorities simultaneously; meet the time demands of unpredictable activities; capable of handling pressure and challenges in a dynamic business environment.
  • Effective and efficient problem solving and decision-making skills; thoughtful, proactive, and creative.
  • Anticipate problems and drive risk reduction.
  • Keep the team updated with various information/data points around project timelines.
  • Demonstrate a sense of urgency and strong commitment to achieving goals; ability to work in a challenging, fast-paced environment.
