Office Administrative Assistant

We are looking for a valuable member to our office management team. Some of the basic duties we are looking for someone to handle are routing incoming calls to appropriate mailboxes, answering and properly screening telephone calls and preparing outgoing email and correspondence. We offer a challenging but fun work environment and provide all necessary equipment and training to operate in an office. This position does require some personal assistance duties/tasks from the President. This can include picking up orders such as materials from vendors.

Some of the Key Responsibilities but are not limited to are:

  • Maintains a welcoming attitude.
  • Greets company contacts in a friendly manner.
  • Daily on-the go tasks and/or duties from President .
  • Submit locate requests.
  • Process payments.
  • Create invoices.
  • Help with payroll and accounting functions.
  • Respond to multiple email correspondence while taking calls.
  • Creating contracts.
  • Recording timesheets.
  • Handling sensitive information with responsibility.
  • Assists with specialized and sensitive reports.
  • Obtain documents and plates from Service Ontario.
  • Daily availability to work in office setting.
  • Picking up orders from vendors.
  • Additional tasks may be asked daily as needed.
  • Must be a resident of the Ottawa, ON area.

Experience:

  • Ability to operate standard office equipment such as personal computer, copier, scanner, laminator, etc…
  • Minimum 2 years of experience related experience and/or training; or equivalent.combination of education and experience in an office setting.
  • Basic to advanced knowledge and computer skills in Word, Excel and Gmail.
  • Experience with QuickBooks Desktop is crucial and necessary.
  • Must be a team player and be able to share certain tasks.
  • Capabable of working on under pressure during seasonal changes.

  • Demonstrates commitment by maintaining a consistent and dependable work schedule.
  • Can prioritize to ensure that deadlines are met.
  • Has the ability to read and interpret documents and write routine reports and correspondence.
  • Speak effectively before groups of customers or employees.
  • Comfortably takes the first steps to identify and address existing and potential obstacles, issues, and opportunities.
  • Anticipate needs and responds to situations in a responsible manner.
  • Excellent problem solving the ability to anticipate, identify, and define problems while searching for solutions.
  • Detail orientated nature is key.
  • Monitors and checks work or information and plans and organizes times and resources efficiently.
  • Capable of performing duties with on-the-fly requests from the President
  • Bilingualism is an asset but not a requirement!

Salary:

Based on experience, this position pays up to $52,000.00 annually.
